Job Description

Administrative Duties

Manage office supplies inventory and place orders when necessary

Assist in organizing and scheduling meetings, appointments, and events

Maintain electronic and hard copy filing systems

Handle incoming and outgoing correspondence, including emails and phone calls

Provide administrative support to ensure efficient operation of the office

Prepare and modify documents, including reports, drafts, memos, and emails

Monitor and maintain office equipment and ensure they are in good working condition

Coordinate with the IT department regarding office equipment

Arrange travel and accommodation for staff and managers

Assist in the preparation of regularly scheduled reports

Help organize company events and team-building activities

Training Claims & Coordination

Prepare, submit, and track training-related claims in line with relevant regulations and requirements

Ensure all claim documentation is accurate, complete, and properly filed

Coordinate with trainers and internal teams to collect required supporting documentation

Follow up on submitted claims and address any queries or discrepancies

Maintain organized records of all claims, submissions, and approvals

Monitor deadlines to ensure timely submission of claims

Assist during audits by providing necessary claim documentation

Ensure compliance with internal policies and external regulatory requirements

Requirements

Proven experience as an Administrator, Office Assistant, or in a similar role

Experience with claims processing or training coordination is an advantage

Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)

Excellent organizational and time-management skills

Strong written and verbal communication skills

High attention to detail and strong problem-solving skills

Ability to manage multiple tasks and meet deadlines

Relevant diploma; additional qualifications in Office Administration are a plus

The project:

This is an opportunity to work on one of the largest programmes in Saudi Arabia. This unique project consists of major mixed-use development including sports facilities, entertainment, and arts along with all associated infrastructure. Mace is one of the delivery partners requiring high-calibre and experienced professionals to lead integrated teams throughout each phase of the project. Responsible for (area/discipline/specialism), using advanced technical capabilities/discipline expertise.

You’ll be responsible for:

Deliver accurate and timely consolidated monthly reporting in line with internal timetables.

Execute consolidation adjustments and provide accounting for joint arrangements.

Support year-end reporting, financial statements, and statutory audit processes.

Maintain and enhance statutory reporting templates, ensuring compliance across UK subsidiaries.

Partner with technology teams to strengthen group reporting capabilities and deliver reliable insights.

Provide responsive financial analysis to senior management, supporting informed decision-making.

Mentor and upskill colleagues, sharing expertise to build collective capability.

Contribute to Mace’s net zero carbon transition by proactively managing emissions within reporting activities.

You’ll need to have:

ACA/ACCA qualified, supported by strong academic foundation.

Description:

Job Purpose

Supports the invoicing, payment processing, and account reconciliation processes, ensuring timely collection of outstanding payments. This helps maintain accurate financial records, resolve billing issues, and collaborate with internal teams to ensure smooth operations and cash flow.

Key Accountability Areas

Invoicing and Payment Processing:

Assist in preparing and issuing customer invoices accurately and on time.

Apply incoming payments to customer accounts.

Ensure all transactions are properly documented.

Accounts Monitoring and Collections:

Monitor customer accounts for non-payment, delayed payment, and irregularities.

Perform collection activities, including contacting customers via phone or email.

Account Reconciliation and Reporting;

Reconcile the accounts receivable ledger to ensure all payments are accurately recorded and posted.

Support the month-end closing process by preparing AR reports and summaries.

Customer Service and Dispute Resolution:

Assist in resolving billing discrepancies.

Respond promptly and professionally to customer inquiries.

Documentation and Cross-Functional Collaboration:

Maintain organized, up-to-date financial records and documentation.

Collaborate with sales and customer service teams to resolve client account issues.

Job Description

Checking reservations daily for compliance to ensure that the minimum response time is maintained for all reservation requests.

Ensuring that quality of reservation is maintained in terms of guest details, rates, payment methods etc.

Planning and using efficient organizational skills to run the daily operation.

Organizing on-the-job and weekly training for all staff.

To assist the Director of Revenue in optimizing the hotel’s sales revenue.

Close interaction with the hotel’s senior management.

Responsible for pricing strategy and for optimizing inventory.

To keep reservations staff informed on all changes or developments within the hotel and the company.

To spot-Check reservations made the previous day and Check all VIP arrivals

Training, developing, and motivating staff to increase productivity.

To keep department informed of all changes in the customer profile, rates, strategies, promotions and specials.

Maximizing employee productivity and morale within the department and consistently maintain discipline within hotel guidelines and local regulations.

Having a full working knowledge and ability to supervise, train, correct and demonstrate all duties and tasks, in assigned place of work, accordingly to the standards as set.

Training employees ensuring that they have the necessary skills to perform their duties with the maximum levels of productivity and efficiency.

Understands and utilizes a consistent approach to selling in order to support the sales team.

Ensures a sales attitude is adopted

Ensures and maintains the security of information relating to customers and personnel in the hotel.

Complies with all company policies and procedures relating to guest services and all systems.

Computer literate with excellent written and oral proficiency.

Able to communicate clearly and willing to help others

Having an eye for accuracy for checking reservations and processing room requests

Flexible and diplomatic when dealing with demanding and unreasonable guests

Carry out any other reasonable task (which may not be stated here) as requested.

Qualifications

Higher education (tourism and hotel management)

Good command of English is required (additional language is an advantage)

Experience in the relevant position. Minimum 3-4 years experience with the same position in a 5 star hotel

Knowledge of Microsoft Windows computer programs:

Excellent communication skills, both written and verbal required

Strong interpersonal and problem solving abilities

Highly responsible & reliable

Ability to focus attention on guest needs, remaining calm and courteous at all times

Must possess professional telephone etiquette and have an excellent command

Strong team player who can work independently in a fast-paced environment

Dynamic, willing to learn

Have good sales and presentation skills

Ability to manage multiple tasks at the same time

Management experience would be an advantage.

Strong analytical, organizational and creative thinking skills
