We need a Customer Service Representative,

Key responsibilities
• Communication with customers in written and via phone with defined SLA (response time) and quality standards
• Keeping records of customer´s interaction and contacts
• Researching required information using internal systems and resources
• Communication and coordination with CS Team members, internal departments, and GB offices
• Following-up in customer inquiries not immediately resolved
• Identifying and escalating priority issues
• Recommending process improvements
• Duties and responsibilities can be changed after arrangement
• Principal accountably
• Providing customers with correct and complete information
• Ensuring maintaining of KPIs and SLAs
• Ensuring the contact logging software is correctly used to allow reports and analysis
• Maintaining internal rules
Qualifications
• Secondary education degree or University degree (Bc/MA)
• Fluent knowledge of English (intermediate / upper-intermediate, both written and spoken)
• Fluent knowledge of 2nd foreign language (upper-intermediate, both written and spoken)
• PC literate with experience with MS Office
• Good communication skills
Key competencies
• Previous experience in Customer Service is an advantage (international environment is a significant advantage)
• Customer oriented
• Attention to detail and accuracy
• Enjoys a fast paced, ever-changing environment
• Team player
• Good analytical skills, focused on problem solving
• Ability to handle stress

Help Desk Officer, Abu Dhabi, UAE

Job Purpose

Help Desk Officer provides the point of contact, and coordination of response for facilities related faults to the Airport’s facilities.

Key Responsibilities

Customer Service

Coordination point between airport operations and FM maintenance and service providers;

Obtains client information by answering telephone calls/emails/tickets; verifying information

Provide accurate, valid and complete information by using the right methods/tools

Follow up on the timely and efficient service provided should in accordance to the agreed Standard Operating Procedures as well as safety and security standards set by Company

Respond as required to airport emergencies and coordinating FM emergency activities

Adhere to all company and client policies and procedures;

Promote a ‘zero injury’ safety culture throughout the ranks across the facilities and the Facility Management community;

Promote the Facility Manager, Company in a positive manner at all times – everyone is a customer;

Coordination with internal and external stakeholders to minimize effects of maintenance and outages on daily operations;

Monitor and follow up on FM related faults;

Able to make informed operational decisions and escalate where required;

Understand and be able to use FM related Business Continuity Plans;

Handle customer complaints, provide appropriate solutions and alternatives within the time limits; follow up to ensure resolution when needed;

Keep records of customer interactions using Maximo, or other approved systems;

Training new users on software use;

Manage large amounts of incoming calls/emails/tickets;

Identifies, researches, and resolves technical problems for end users on a variety of issues;

Any other duties that may be assigned by the Helpdesk Manager or reporting Director.

Reporting

Run reports to determine WO status and WO performance;

Properly escalate unresolved queries to the next level of support;

Update customer data and produce activity reports by using Maximo;

Ensure proper recording, documentation and closure;

Recommended procedure modifications or improvements;

Collect feedback to determine patterns and issues such that they can be resolved or FAQs can be provided to customer to ease in troubleshooting and fault verification;

Creates and sending the total pending WO report and status report at the end of the shift;

Log all job requests that are received via telephone, emails forwarding the complaints to the concerned department.

Carry out the order to invoice process, including maintenance of accurate shipment dates, providing the right credit notes, payment terms, etc.

Your day at Ferring

Oversee and manage the completion of lifecycle orders:

Study review (stock availability, coming orders, In market Sales, stock inventory report)

Placing orders with distributors based on the study review results

Communicate the official order with Amman office

Follow up with customer service regarding any unmatching data or deviation

Review DF on monthly basis, making sure to align the forecast with the open orders (Private & Tender) and approved budget.

Handle all issues related to shipping procedure with distributor (Invoices, CoA, COO, packing list, AWB, …etc.) to get authority approval and airlines green light

Active participation in tender business with all needed elements.

Job Description

OPERATIONAL

-Meeting and greeting customers: Serves as initial point of contact for customers when they arrive at the service department. Offers a warm welcome for customers, promptly address any issues they may have, and maintain clear and effective communication throughout the service process.

-Emphasizes the importance of providing exceptional customer service, offering personalized recommendations, and fostering strong customer relationships to ensure customer loyalty and retention

-Schedule customer appointments manage service department's schedule efficiently to ensure that all customers are serviced in a timely manner.

-Suggests necessary maintenance and part replacement, explains the benefits of the proposed services, responds to client inquiries, decides on estimation, discount, advises customer on make model to spend, where viable, and repair and service estimates .

-Inform the customer about the tasks that need to be completed and ensure their approval before proceeding with the vehicle testing. Clearly state the total cost in the quotes and get customers buy in before moving forward with the repair process.

-Fill the 'T' Card with all details of Jobs to be carried out with the repairing estimate and fix delivery date by considering the availability of spare parts in the Stores and Manpower in the Control Room respectively.

-Ensure all the repairs are carried out as per Job Card before committed delivery time.

Intimating and taking prior approval from the customer for any repair not discussed earlier.

-Streamlining communication between customers and technicians. Having a streamlined and effective communication process between customers and technicians. Ensures that customer concerns and service requests are properly conveyed and that information about repairs and service updates is promptly shared with customers.

-Work closely with the Parts advisor to ensure the availability of necessary spare parts and efficiently coordinate the work to streamline the process, resulting in accurate timelines for servicing and repair.
