Job Summary

We are seeking a proactive and organized Secretary to provide administrative and coordination support to the Estimation Department. The role will involve managing tender documentation, maintaining records and trackers, coordinating with suppliers, subcontractors, project teams, and internal departments, and ensuring timely follow-up on administrative and tender-related matters. The ideal candidate should be detail-oriented, responsive, and capable of managing multiple tasks efficiently in a fast-paced office environment.

Key Responsibilities

Coordinate with suppliers and subcontractors for quotations, submittals, prequalification documents, and tender requirements.

Maintain tender logs, trackers, BOQs, pricing sheets, and document registers.

Manage tender documents, addendums, NTTS, clarifications, and correspondence.

Follow up with procurement, project teams, suppliers, and subcontractors on pending matters.

Handle departmental emails, filing, documentation, and general administrative tasks.

Required Skills & Qualifications

4+ years of relevant experience in construction, infrastructure, or contracting.

Experience in tendering, estimation, procurement, or project support is mandatory.

Knowledge of BOQs, tender documents, quotations, submittals, and addendums.

Proficiency in MS Excel, Word, Outlook, and PDF/document management.

Strong communication, coordination, follow-up, and organizational skills.

Bachelor’s degree or Diploma in Business Administration, Secretarial Studies, or related field.

If the CV is not made as per the RULES of the ATS, the information will get messed up in the database. In the image below, 'PMP' has gone into the 'Mobile Number' column. The Mobile Number '052 1234567' has gone into the 'Main Skill' column.
