DOCUMENT CONTROLLER (with IT SUPPORT), Abu Dhabi, UAE

Job Summary:
We are seeking a reliable and detail-oriented Document Controller to manage, organize, and maintain project documentation throughout all project stages. The successful candidate will ensure that all project documents are properly controlled, tracked, and distributed in accordance with company procedures while maintaining confidentiality and document accuracy. Provide basic first-level technical assistance for routine office IT issues and coordinate with the company’s outsourced IT service provider when advanced technical support is required.

 

Key Responsibilities:
Job responsibilities will include, but are not limited to the below:

Manage, maintain, and organize project documents, drawings, transmittals, correspondence, and records.
Ensure all project documentation is properly received, filed, tracked, distributed, and archived in accordance with company procedures.
Maintain document registers and ensure proper document numbering, revision control, and version management.
Prepare, submit, and monitor document transmittals and ensure timely distribution to internal and external stakeholders.
Coordinate with project teams, clients, contractors, and authorities regarding document submissions and approvals.
Ensure confidentiality, accuracy, and compliance with company document control standards.
Maintain electronic and hard copy filing systems for project documentation.
Provide basic first-level troubleshooting for routine office IT issues, such as computers, printers, Microsoft 365 applications, email, and other office equipment, and coordinate with the company’s outsourced IT service provider for issues requiring advanced technical support.
 

Qualifications:

Bachelor’s Degree or Diploma in Information Technology, Computer Science, or a related field.
Minimum 5 years of UAE experience as a Document Controller, preferably within an engineering consultancy, construction, architecture, or MEP environment.
Mandatory: Previous experience as a Document Controller in the UAE, preferably in the consultant, MEP, or engineering industry
Proficient in Microsoft Windows, Microsoft 365, computer hardware, printers, and basic networking.
Familiarity with document control systems such as Microsoft SharePoint, AutoDesk, Aconex, Oracle, etc.
Strong organizational, communication, and problem-solving skills.
Ability to manage multiple tasks, maintain accurate records, and work independently.
Good command of written and spoken English.

Applicant Tracking System or "ATS", is the software that 'READS' your CV and stores this information in a database. Like this:

If the CV is not made as per the RULES of the ATS, the information will get messed up in the database. In the image below, 'PMP' has gone into the 'Mobile Number' column. The Mobile Number '052 1234567' has gone into the 'Main Skill' column.

So a recruiter searching for a candidate with PMP certification, will never find this person, in spite of his 'CV information' existing in the database...
